Operations Assistant/Receptionist will serve as a clerk assisting the operations staff in the Florida office. This position requires professionalism and confidentiality. We are looking for a highly dependable individual who has a positive attitude, is organized and willing to learn.

Duties and Responsibilities include, but are not limited to the following:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Maintains log of whereabouts of all attorneys and staff.
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Organization and preparation of documents and binders including labeling and indexing
  • Internal file management
  • Supply/food pickup/delivery and general errands
  • Able to copy and scan documents
  • Must be able to use dollies/mail carts as needed and lift boxes weighing up to 50 pounds.
  • Monitoring and ordering of office supplies
  • Stock paper at all printers/copy machines
  • Maintain general cleanliness of conference rooms, office setting
  • Refill postage for meter when required 
  • Stock boxed paper at copy/printer stations;
  • Retrieve incoming mail, sort and distribute;
  • Outside delivery of materials: maintaining daily delivery log at Reception;
  • Collect, seal, and stamp outgoing mail, use postage meters and envelope sealers;
  • Available to all Legal Assistants for special support projects, i.e., scanning, copying, filing, etc.
  • Word processing skills to assist other administrative staff with typing and document management.
  • Pick-up and delivery of confidential documents at court and/or other offices

Skills and Qualifications: Telephone skills, verbal communication, Microsoft Office skills, general computer and technology knowledge, general math skills, listening, professionalism, customer focus, organization, handles pressure, works well as a team, willing to learn other tasks and skills to fill in as necessary. Must have a valid driver’s license. Reliable attendance & positive attitude a must.
