Executive Assistant, Buffalo, NY

Lippes Mathias LLP is seeking an enthusiastic, pro-active and organized Executive Assistant to join our team.

Responsibilities will include:
  • Compose correspondence, e-mails and memos on behalf of executives
  • Maintain Outlook calendars and schedule appointments
  • Coordinate meeting logistics including ordering refreshments
  • Set up meetings by conference call, Zoom, Microsoft Teams or other platforms
  • Answer phone calls in a polite and professional manner
  • Coordinate travel arrangements for executives and attorneys
  • Serve as the point of contact for operations projects
  • Maintain the Firm’s travel and expense portals; provide training to other employees
  • Work with the Firm’s Social Committee to plan events
  • Promote a positive workplace culture among staff
  • Provide other clerical support for the Firm as needed

Our ideal Legal Assistant will have:
  • At least 1 year of Administrative Assistant experience; law firm experience preferred
  • Good working knowledge of Microsoft Word, Excel, Outlook
  • Accurate typing speed of 65+ wpm
  • A Bachelor’s degree in Business or related field; MBA a plus
  • Exceptional planning and time management skills
  • Ability to manage projects with little direction
  • Excellent written and verbal communication skills
  • High accuracy rate and strong attention to detail
  • Ability to maintain composure under pressure
  • Ability to use discretion and handle confidential information
  • Ability to meet deadlines and produce high quality work products
